ℹ️Session 2: Reschedule, Cancel, or No-Show

Participants can reschedule or cancel Session 2 on their own up to 24 hours before their session. Participants will need to contact us to reschedule or cancel Session 2 within 24 hours.

If the participant is rescheduling more than 24 hours in advance:

  1. Check the lab email for "Updated Booking" messages.

  2. Update the session date/time in the MURI Subject Database

  3. Mark the "Updated Booking" message as read.

If the participant is rescheduling within 24 hours:

  1. Check the lab email for messages from participants who need to reschedule.

  2. Highlight the session in purple (rescheduling) in the MURI Subject Database

  3. Cancel the session in the lab's Bookings Page:

    If there is one participant listed for the booking (1 of 2 seats filled):

    • Select the original booking on the calendar -> select "Cancel"

    • Select "Send Cancelation" to finish.

    If there are two participants listed for the booking (2 of 2 seats filled):

    • Select the original booking on the calendar -> select "Edit"

    • Select the participant that is rescheduling -> select "Remove Customer"

    • Select "Update Booking" to finish.

  4. Copy and email the following message to the participant:

    "Hi [Name],

    Thank you for letting us know you need to reschedule Session 2. We have cancelled your original booking and ask that you please use this link to reschedule: MURI Study Part 1 Sign-Up Link

    Please contact us with any questions!

  5. Check the lab email for "New Booking" mesages.

  6. Remove the purple highlight and update the session in the MURI Subject Database

  7. Mark the "New Booking" message as read.

Canceling Session 2

If the participant is canceling more than 24 hours in advance:

  1. Check the lab email for "Canceled Booking" messages.

  2. Highlight the session in red (canceled) in the MURI Subject Database

    • Add the reason for canceling to the "Notes" section (if there is one).

  3. Mark the "Canceled Booking" message as read.

  4. Copy and email the following message to the participant:

    Hi [Name],

    We noticed you have cancelled Session 2 with us. If you're still interested in participating, we ask that you please use this link to reschedule: MURI Study Part 1 Sign-Up Link If you are no longer interested in participating, please let us know so we can compensate you for participating in Session 1.

No-Show for Session 2

  1. Highlight the session in grey (no-show) in the MURI Subject Database

  2. Cancel the session in the lab's Bookings Page:

    If there is one participant listed for the booking (1 of 2 seats filled):

    • Select the original booking on the calendar -> select "Cancel"

    • Select "Send Cancelation" to finish.

    If there are two participants listed for the booking (2 of 2 seats filled):

    • Select the original booking on the calendar -> select "Edit"

    • Select the participant that is rescheduling -> select "Remove Customer"

    • Select "Update Booking" to finish.

  3. Mark the "Canceled Booking" message as read.

  4. Copy and email the following message to the participant:

    Hi [Name],

    We had you scheduled today to come into our lab for Session 2. If you're still interested in participating, we ask that you please use this link to reschedule: MURI Study Part 1 Sign-Up Link If you are no longer interested in participating, please let us know so we can compensate you for participating in Session 1.

Reschedule Session 2

Rescheduling more than 24 hours in advance:

  1. Check the lab email for "Updated Booking" messages.

  2. Update Session 2 in the MURI Subject Database.

  3. Mark the “Updated Booking” message as "Read".

Rescheduling within 24 hours:

  1. Check the lab email for messages from participants who need to reschedule.

  2. Highlight Session 2 in purple in the MURI Subject Database.

    • Purple = in process of rescheduling session

  3. Cancel Session 2 in the lab’s Bookings Page.

    • If there is one participant listed for the booking (1 of 2 seats filled):

      • Select the original booking on the calendar -> select “Cancel”

      • Copy and paste the following in the customer message box:

        “Hi [Name], thank you for letting us know you need to reschedule Session 2. We've cancelled your original booking and ask that you please use this link to reschedule: MURI Study Part 1 Sign-Up Link. Thank you!”

      • Select “Send Cancellation” to finish

    • If there are two participants listed for the booking (2 of 2 seats filled):

      • Select the original booking on the calendar -> select “Edit”

      • Select the participant that is rescheduling -> select "Remove customer"

      • Finish by selecting "Update booking"

      • Copy and email the participant the following:

        “Hi [Name], thank you for letting us know you need to reschedule Session 2. We've cancelled your original booking and ask that you please use this link to reschedule: MURI Study Part 1 Sign-Up Link. Thank you!”

  4. Remove the purple highlight and update Session 2 in the MURI Subject Database.

  5. Mark the “Updated Booking” message as "Read".

Cancel Session 2

Cancelling more than 24 hours in advance:

  1. Check the lab email for "Cancelled Booking" messages.

  2. Highlight Session 2 in red in the MURI Subject Database.

    • Red = session canceled

  3. Add explanations for canceling Session 2 in the “ Notes” section.

  4. Mark the “Canceled Booking” message as “Read”.

  5. If we don't know why they cancelled Session 2,

Cancelling within 24 hours:

  1. Check the lab email for messages from participants who need to cancel Session 1.

  2. Remove the participant from the MURI Subject Database.

  3. Cancel Session 1 in the lab’s Bookings Page.

    • If there is one participant listed for the booking (1 of 2 seats filled):

      • Select the original booking on the calendar -> select “Cancel”

      • Copy and paste the following in the customer message box: “Hi [Name], thank you for letting us know you need to cancel Session 1. If you decide to reschedule, please use this link to do so: MURI Study Part 1 Sign-Up Link. Thank you!”

      • Select “Send Cancellation” to finish

    • If there are two participants listed for the booking (2 of 2 seats filled):

      • Select the original booking on the calendar -> select “Edit”

      • Select the participant that is rescheduling -> select "Remove customer"

      • Finish by selecting "Update booking"

      • Email the participant the following: “Hi [Name], thank you for letting us know you need to cancel Session 1. If you decide to reschedule, please use this link to do so: MURI Study Part 1 Sign-Up Link. Thank you!”

  4. Forward the “Cancelled Booking” message to Eva so she can update the session in SONA.

No-Show for Session 1

  1. Remove the participant from the MURI Subject Database.

  2. Cancel Session 1 in the lab’s Bookings Page.

    • If there is one participant listed for the booking (1 of 2 seats filled):

      • Select the original booking on the calendar -> select “Cancel”

      • Copy and paste the following in the customer message box: “Hi [Name], we had you scheduled to come into the lab today to participate in our study. If you are interested in rescheduling your session, please do so here: MURI Study Part 1 Sign-Up Link

      • Select “Send Cancellation” to finish

    • If there are two participants listed for the booking (2 of 2 seats filled):

      • Select the original booking on the calendar -> select “Edit”

      • Select the participant that is rescheduling -> select "Remove customer"

      • Finish by selecting "Update booking"

      • Email the participant the following: “Hi [Name], we had you scheduled to come into the lab today to participate in our study. If you are interested in rescheduling your session, please do so here: MURI Study Part 1 Sign-Up Link

  3. Forward the “Cancelled Booking” message to Eva so she can update the session in SONA
