fMRI Session 1

Greet & Review Eligibility

  1. Before the participant arrives, sign into DocuSign to review their forms

    • Email: englelab@psych.gatech.edu

    • Password: operationspan!

    • If incomplete, have the participant fill them out when they arrive

  2. Greet them when they arrive and ask for their photo ID to confirm the correct person is here

  3. Ask if they need parking validation

  4. Review and clear any contraindications from their forms before proceeding

    • If ineligible, ask if they'd like to participate in our MURI study instead

  5. Add explanations for cleared contraindications to the fMRI Subject Database


Complete Demographics

  1. Have the participant scan the "ONR fMRI Demographics" QR code on the table labeled with their phone camera

  2. In the fMRI Subject Database, move the participant's information from the "New Bookings" sheet to "fMRI Subjects"

  3. Provide the participant with a subject ID number for their survey

  4. Add the their subject ID and date of birth to the database

    • DOB can be found in the DocuSign forms


Schedule Sessions 2 & 3

Create COINS Account

  1. While the participant completes the demographics survey, log into COINS

    • Username: dseeburger3

    • Password: operationspan!

  2. Select Account Details > Subjects > Enter new subject

  3. Use the information from the fMRI Subject Database to register the participant

    • Subject Tag Type: None

    • Select Study: Pupil_LC

  4. Select continue and add to finish

  5. Add the participants URSI Number to the database

Schedule Session 2

  1. Once the participant completes the demographics survey, open the fMRI Study Part 1 Sign-Up Link

    • Choose an available time on the calendar with the participant

    • Have the participant fill in their details and answer the eligibility questions

    • Select "Book" to finish

  2. Add the participant's Session 2 to the fMRI Subject Database

  3. Mark the β€œNew Booking” message as β€œRead” in the lab email

Schedule Session 3 - CABI

  1. Log into CABI Scheduler

    • Email: englelab@psych.gatech.edu

    • Password: !operationspan!

  2. Scroll through the schedule with the participant to look for availability

    • Look for 6 open-blocks or 5 open-blocks followed by 1 red buffer-block (1 block = 15 min)

  3. The scan time will be 1.5 hours but tell the participant their session starts a half hour before their scan

    • Example: if the scan is at 12:30pm, tell the participant the session will start at 12:00pm

  4. Click and highlight the boxes to create a scan session

    • Title the scan session as β€œPupil LC – [URSI Number]”

    • Select β€œCreate” to finish

  5. Add the participant's Session 3 to the fMRI Subject Database

  6. Add "need to send contraindications" to the database

Schedule Session 3 - Bookings

  1. Choose the time/date on the calendar that is 30 minutes before the scheduled scan time

    • Example: If the scan is at 12:30pm, the session will start at 12:00pm

    • Add the participant's URSI number

    • Have the participant add their details and answer the eligibility questions

    • Select "Book" to finish

  2. Mark the β€œNew Booking” message as β€œRead” in the lab email

  3. Go to the lab's Bookings Page to find the session you just created

    • Select the booking > Edit > Scroll down to the bottom > More options

  4. Make sure "Let customers manage their appointment" is NOT selected

    • Dissselect if needed and then "Update Booking" to finish

    • Mark the "Updated Booking" message as read in the lab email


Run Session 1

  1. The participant can bring their belongings with them or leave them in the control room

  2. Reiterate their informed consent as you walk them to the running room

    • State they are able to take breaks or leave at any point if they do not wish to continue

    • Provide an overview of what they will be doing; a series of computer tasks that measure things like attention and working memory

  3. Ask the participant to silence and put away their phone during the session

  4. Seat the participant at a computer and leave a post-it note on their desk with the following information:

    • First Name

    • fMRI Session 1

    • Subject ID

  5. Add the participant's session information to the Running Room Log and update accordingly throughout the session


Add DocuSign Forms to Sharepoint

  1. While the participant completes Session 1, log into DocuSign

    • Email: englelab@psych.gatech.edu

    • Password: operationspan!

  2. Select "Action Required" on the homepage

  3. Find the participant's forms and select "Sign"

    • Add the participants URSI number and Session 3 time and date to the top of the MRI Contraindications Form

    • Sign the bottom of the consent form

    • Select "Finish"

  4. Select "Completed" on the homepage

  5. Find the participant's forms and select "Download"

    • Only select the form documents (4 in total), not the certificates of completion

  6. Rename each downloaded file:

    • Consent_Form_[First Name] [Last Name]

    • Contraindications_Screening_Form_[First Name] [Last Name]

    • Health_ScreeningForm_[First Name] [Last Name]

    • MRI_ScreeningForm_[First Name] [Last Name]

  7. Add the participant's forms to the Lab Sharepoint

    • Search for the "Forms" folder within the "ONR fMRI 3pt" Folder

    • Add the downloaded forms to their corresponding folders


Send Contraindications to CABI

  1. From the lab email, send the participant's contraindications form to cabi-support@gatech.edu

    • Subject Line: URSI #

    • Attachment: Contraindications_Screening_Form_[Participant Name].pdf

      • Make sure the participant URSI # and scan date/time are added to the form

    • Body: Please find the attached contraindications form for participant [URSI #] that we have booked for [scan date/time]. The participant answered β€œyes” on these questions: [form question(s)] because [explanation for contraindication(s)].

  2. Update the notes section of the fMRI Database with the date the form was sent

fMRI Session 2
